To helpfacilitate the work, Fortuna hotel used some tools and steps .They are occupancy forecast and staffingguideI.Occupancy forecast is a forecasting report about the percentage of occupied room and the number of correlative room in hotel .The manager will set them in a roughly time to estimate the number of employees that work in a certain day . Base on this, housekeeping manager will arrange work schedulefor staff. When hotel have others events, manager will reinforce the number of employees to complywith needs .Most executive housekeeping manager make schedule for notice of occupancy forecastsleast at 7 days. Room attendants will reinforce for next day if the manager see that the higher theprevious nights occupancy. However, for the other positions such as houseman and lobby attendants,the number of staff needed for a certain day or shift may also vary in relation to meeting room andbanquet functions, convention business ,and the volume of business at the hotel s restaurant. Fortunahotel often use the 15 days forecast report to make schedule .It was determined basis on number of reservations on the books ,any special events in town an or in the hotel, number of estimated walk-ins,number of expected cancelations, overstays , understays.   II.Staffing Guide :It enables by the Executive Housekeeper to determine the total labor hours ,number of employees andestimated labor expenses .Fortuna hotel has totally 100 people in housekeeping departure .Inhousekeeping departure have 32 room attendants,5 housekeeping supervisors,3 floor supervisors and 1assistant housekeeper .In laundry departure have 19 laundry attendants,1 laundry manager,2 laundrysupervisor,1 checker captain,1 laundry coordinator .Moreover ,there are 13 public attendants , 2 houseman,7 linen attendants,1 linen supervisor ,3 housekeeping coordinator,1 junior secretary, 1 amenitiesattendant,2 office attendant,4 gardener. With 325 rooms, a room attendant needs 30 min to clean aroom and can clean 15 room in an 8 hour shift. When necessary, each of room attendants may makefrom 18 to 20 rooms for a day. Room attendant and other same is paid $ 8 per shift. Room inspector ispaid 10$ per shift . Then the manager will calculate the total employees and total expense .The methodto calculate the number of needed staff was get the number of occupied room divide productivity of each position .The labor expense which is calculated by getting the number of employees stuff withlabor cost within stuff with cost labor in a day. It will be present on the excel.III. Staff Schedule :   Duty Roster Executive Housekeeper will arrange number of employees needed basis onforecasted occupancy, staffing guide, request for days off, vacation, sick leave and other dayseach employee can work. From these, manager will determine who work on day and workschedule. In Fortuna hotel , room attendants often begin the shift of work for 80% in day shiftand only 20% for night shift. Time to work as following :Day shift : from 5.30 am to 1.30 pm  A fternoon shift : from 1.30 pm to 9.30 pmNight shift is primary time for cleaning the public areaThe executive manager often arrange duty roster in weekly and monthly for both of Laundry andgeneral housekeeping departure . A shift can begin from 5.30 am or 6 am depend on the other positions.The senior executive supervisor often begin work in main shift at 7 am, Floor supervisor at 8.30 am or10 am. Public attendant begin 9.30 am or 2 pm and the last shift from 11 pm to 7 am . Each shift workabout 8 hours. A duty roster include the main information such as, the number of consequence,Vietnamese name of staffs, their position, number staff, percentage occupancy, Shift, time (on/off).Manager of Fortuna hotel used the symbols to mark time that each employee should come as followingML- Maternity leaves UP- Unpaid LeavePH- Public holiday PC Pregnant check A L- A nnual leave Cl - CompassionatePL-Paid leave CO- Clear OvertimePR- Public holiday replacement RR: Rest day replacementMR :Marriage leave SL: Sick leaveN :night shift A :morning shift P: A fternoon shiftB.Standing Rotational Schedule :Fortuna hotel often notice the staff schedule least at 3 days. the manager will arrange in order thatevery employees will work five straight days and have 2 days off on during each seven day period ,workan equal share of weekends and holidays. The cycle of schedule will be repeat for every seven weeks.The illustration will be present immediately on excel table.IV.Staff planning table : A fter having the percentage of occupied room and calculated number of needed employees, themanager will make schedule and consuming for the main factors about expenses of each positions suchas :For Total labor cost calculations ,how much will pay for room attendants, room inspectors,houseman and other position. The manager will have a role in weigh the pros and cons to projectedlabor cost, room revenue, labor cost percentage .The achievement of manager must have completedwork following the standard :- A ssume a 8 hour day for all position-Room attendant productivity :15 rooms per day-Room inspectors can check 200 rooms a day  Housemen productivity :120 rooms per dayV. The notice when make schedule :1.The information need to keep a good rosterThe managers need to have names and phone of all full-time and part- time employees or who areavailable to be hired. They guide the time when the room attendants can get into the rooms to cleanbasis on DND sign, late checkout .. and have schedule for some staff come in late .It help decrease laborcost for hotel. The departures need to be cleaned as public areas, lobbies, food and beverage outlets.2.Room assignment for a dayThe housekeeping departure coordinate with front desk office to get information about occupancyrooms of previous night. Night auditor prepares a list showing vacant rooms, early checkout, checkout,check-in, ViPs ,bookings with special request of guests then send to housekeeping departure. InFortuna hotel, computer of Font office departure often print out information to housekeeping before7a.m.Excecutive housekeeper to assign to staff to clean room. The staff are advised of room status andspecial requests from guest. The manager will arrange for each room attendant works only on one floorif possible. Staff will clean room in order to the Front Desk s request.3. Understaffing :Understaffing reduces labor cost. However, It may also decrease hotel profits because performancestandards will not be met ,resulting in dissatisfied guest and may have to be redone .To solve it forsuitable, Fortuna hotel research the timetable of staff who can be willing to work extra hours. In greatcelebration of nation, if staff go to work ,they will receive the triple salary. The executive housekeeperalways remain the enough room attendant to clean room for guest in minimum.-
